Commissioner is charged with overall responsibility and authority to organize and operate the youth lacrosse program in accordance with the general policies and procedures of Vienna Youth Lacrosse (VYL), Vienna Youth Inc. (VYI) and the Northern Virginia Youth League (NVYLL). Specific duties include:
Coordinates with other Board Members and volunteers to ensure program is running in accordance with established policies and procedures; convenes and chairs VYL Board Meetings
Coordinates with Treasurer on estimating annual budget revenues and costs
Renders final decision on player and coach assignments, as needed
Finalizes and submits official NVYLL rosters request zip code waivers
Renders final decisions regarding VYL, VYI or NVYLL policies
Approves VYL website content
Represents VYI on the NVYLL Board, and VYL on the VYI Board
Boys Coach Coordinator is responsible for the day-to-day operation of the boys program. The Coordinator works with the other Board Members, Coaches and Parent Volunteers to ensure that the boys programs needs are met.
Solicits volunteers to coach boys teams
Ensures training opportunities are provided to boy’s coaches, including training materials, rulebooks, etc.
Designates number of boys teams, players/team and liaison between boy’s coaches and VYL Board
Organizes pre-season tryouts, and coordinates assignment of players to boy’s teams.
Girls Commissioner is responsible for the day-to-day operation of the girls program. The Commissioner works with the other Board Members, Coaches and Parent Volunteers to ensure that the girls programs needs are met.
Solicits volunteers to coach girls teams
Ensures training opportunities are provided to girl’s coaches, including training materials, rulebooks, etc.
Designates number of girls teams, players/team and finalizes and submits official NVYLL rosters request zip code waivers
Liaison between girl’s team coaches and VYL Board
Organizes pre-season tryouts, and coordinates assignment of players to teams.
Represents VYL on the NVYLL Women’s Council
Coordinates or delegates coordination of special events for girls (i.e., tournaments, college games, high school Vienna nights, Oakton and/or Madison clinics)
Coordinates girls uniform, pennies and equipment purchase and distribution
Reminds girls coaches weekly to prepare field before and breakdown fields after games at home field
Determines field requirements in coordination with Girls Commissioner and Boys Coordinator
Schedules practice times
Negotiates with Fairfax County and Waters Field
Organizes volunteers to line boys and girls fields weekly
Ensures that fields are properly equipped with goals, tables, chairs, scoreboard, cones
Solicits and oversees contractors to mow and maintain fields
Determines and acquires boy’s rental equipment and boys uniforms
Manages the storing, inventory, issue and collection of boy’s equipment and uniforms
Determines and acquires coaches equipment needs
Manages the distribution and collection of coaches’ bags and equipment.
Acquires and distributes coaches hats and shirts
Collects equipment deposits, reconciles payments and submits collections to Treasurer
Transmits email messages to coaches, parents, players as necessary
Ensures website is updated with field closing and other time-sensitive notices
Updates website content
Fields questions related to registration
Acquires and sets prices on merchandise for sale
Organizes volunteers to sell merchandise at games, clinics or other special events
Organizes major fund-raising event (i.e., sticker sales, golf tournament)
Collects funds and submits collections to Treasurer
Develops and manages the annual VYL budget
Coordinates with VYI on budget, revenue and payments
Provides regular budget reports to VYL Board
Awards and Pictures
Acquires and distributes team awards at end-of-season
Coordinates picture day and distributes team pictures
Communicates information about scholar athlete awards through Communications, procures certificates, and distributes to teams as requested by team parents.
Coordinates clinics with high school booster clubs, including registration, parent/player reminders, fielding clinic questions
Serves as key point of contact for parents addressing team and player concerns in consultation with the Coaches, Commissioners or Board as needed.
Age Group Coordinator(s)
Assists the Commissioner and Coaches coordinator in oversight of age group drafts and ensures that team sizes are fair.
Assists with tryouts and dissemination of player evaluation information to coaches.
Communicates with coaches and commissioners during the season.
Team Parent Coordinator
Coordinates with coaches to ensure that each team has a team parent.
Coordinates with web master to get all team parents names and contact information posted on the web site.
Defines team parent responsibilities and makes sure each team parent understands their responsibilities
Recommends to team parents other team management positions that will improve team operation.
Disseminates information from VYL to the teams through the team parents.
Brings team issues forward to the VYL board.
Coordinates the setup and entry of information on the VYI Lacrosse web site.
Works with the VYI web master on site standards.
Sets up and monitors the automated registration programs.
Downloads and makes available player information to the board and coaches.
Reformats and inputs the NVYLL game schedule into the web site.
Participates in Club coaches meetings and seasonal planning sessions
Participates in player tryouts and evaluations
Supports the pre-season clinic as needed
Participates in player draft
Attends coaches training sessions
Identifies and appoints a Team Parent
Identifies and appoints Assistant Coaches
Ensures that game scores are entered into the NVYLL sanctioned system on a timely basis
Provides written evaluations of all players at the end of the season to the appropriate coaches coordinator
Creates and distributes phone tree and email list
Distributes and collects information from VYL Board and Team Parent Coordinator for:
Picture day information – requests certificates from awards person
Assigns tasks to parent volunteers, as required by coach:
Assisting at practices by shagging balls
Taking statistics and notes
Providing game-day supplies (water and fruit)
Assigning Home Field 1) Scorekeepers 2) Timekeepers 3) Field Commissioner
Organizing end-of-year party
Reminding parents of game schedules and field directions weekly
Input scores, pictures and game headlines on web sites (including Sportscombine.com)
