Commissioner Guide

 

The Volleyball Commissioner guides the volleyball program and is a member of the VYI Board of Directors and ensures the program follows VYI guidelines. From a time and commitment standpoint the following activities are required:

JANUARY

Prepare a facility request to Fairfax County for Spring gym assignments and review with the COO-Gyms prior to submission.

Review registration forms at the League Athletics website and set open and close dates of registration for the Spring program.

Set a new Season for Spring volleyball and clone the Division and Teams for the current season at the League Athletics website.

Recruit Age Group Coordinators for each league and coaches, whenever possible.

NOTE: As coaches and AGCs are obtained make sure they immediately complete a VYI Coach Application and background check as well as taking the Building Director test.

Identify Travel coaches and obtain gym time at Cassel's Gym for Travel tryouts.

FEBRUARY

Monitor registrations at the League Athletics website.

Check registrations for  AGC volunteers for each league, and coaches whenever possible.

Gather lists of possible student referees.

NOTE: As coaches and AGCs are obtained make sure they immediately complete a VYI Coach Application and background check as well as taking the Building Director test.

Purchase equipment and uniforms as needed based on current year's budget. SUbmit invoices to the VYI Treasurer.

MARCH

Monitor registrations and begin planning numbers of teams in each league based upon registrations to date.

Receive gym allocation from Fairfax County and set aside times for tryouts, practices and games.Verify that the AGCs, or League Administrator, set up the gym schedule of practices and games for each league at www.vyi.org "Master Calendar". 

Work with AGCs, and/or coaches, to conduct a tryout for all players so that they may be ranked to provide equal teams.

Have Travel coaches conduct the Travel tryouts and select teams. Have Travel coaches send the team rosters to the COO-Gyms for conversion from House registration to Travel registration and assignment of higher cost.

Near the end of the registration period, formally set up the number of teams and verify the AGCs have assigned all registered players to teams at the League Athletics website. Review and update division and team information at the League Athletics website.Review and update division and team information at the League Athletics website.

Issue balls and bags to each team coach.

Finalize the list of referees and assign them to games.

Monitor the start of practice and games.

APRIL

Handle all rules disputes and issues. Handle all disciplinary issues.

Monitor practice and games as time permits.

MAY

Handle all rules disputes and issues. Handle all disciplinary issues.

Submit next year's budget to VYI Chief Financial Officer.

Submit referee hours for payment to the VYI CFO

Attend VYI Board meeting.

JUNE

Ensure all reusable equipment is collected by AGCs and stored properly at the VYI Equipment Building.

 

IMPORTANT: It is totally within the Volleyball Commissioner's discretion to conduct a Fall Volleyball program based on his available time and desires. If the Commissioner chooses to do so, the following guidelines are provided. If the Commissioner chooses not to, VYI will not have a volleyball program in the Fall and activity will begin again in the following January.

 

JULY

Train AGCs to set up teams and assign all players to team rosters at League Athletics. 

Receive gym allocation from Fairfax County and train Scheduler to create the "Master Calendar" at the League Athletics website.

Purchase equipment and uniforms as needed based on current year's budget.

SEPTEMBER

Near the end of the registration period, formally set up the number of teams and verify the AGCs have assigned all registered players to teams at the League Athletics website.

Verify that the AGCs set up the gym schedule of practices and games for each league.

Verify the AGCs have issued uniforms, balls and bags to each team coach.

Have Travel coaches conduct the Travel tryouts and select teams. Have Travel coaches send the team rosters to the COO-Gyms for conversion from House registration to Travel registration and assignment of higher cost.

Monitor the start of practice and games.

Attend VYI Board meeting.

OCTOBER

Monitor practices and games along with AGCs

NOVEMBER

DECEMBER
